Position Title: Member Services Representative

Department: Club Professional

Reports To: Associate Director, Programs & Club Operation

Status: Part-Time, Non-Exempt

 

The Member Services Representative is a dynamic and experienced professional responsible for the facilitation of all administrative and clerical front desk responsibilities within the Club. The Member Services Representative proactively develops and maintains relationships with members, families, volunteers and visitors by making efforts to listen and respond at all times; provides solutions to member’s needs and places high priority on member and family satisfaction. Creates Great Futures for young people in Columbus!

Essential Job Responsibilities:

Customer Service:

  • Demonstrate high levels of enthusiasm towards Club members and visitors; offer exceptional customer service experience on a daily basis;
  • Conduct weekly outreach calls to connect with families about Club opportunities;
  • Ensure volunteers sign-in and provide volunteer badge;
  • Ensure appropriate visitor and volunteer logs;
  • Provide information to members and families upon request.

Data Tracking & Utilization:

  • Manage Visions Member Tracking System by entering and updating member data within 24-hours of receiving; ensure accuracy of data;
  • Assist in compiling reports that illustrate program objectives and goals that align with the core youth development outcomes of Academic Success, Good Character & Citizenship, and Healthy Lifestyles.

Professionalism:

  • Support Associate Director of Program & Club Operations and club staff to accomplish organizational goals aligned with the Vision 2030 Strategic Plan;
  • Follow all organization-wide policies, procedures, and standards with regard to upkeep, usage, and maintenance of Club spaces, materials, and equipment;
  • Perform at a high productivity level while maintaining effectiveness in varying environments and with different tasks, responsibilities, and people.

Fun & Intentional Programming:

  • Build positive and appropriate relationships with members;
  • Greet every member by name as they enter the building;
  • Enforce member expectations at all times;
  • Answer and document all incoming calls regarding Club programs and offerings;
  • Model and encourage positive behavior and interactions between members;
  • Conduct daily outreach calls to members and families to encourage program participation and engagement;
  • Assist club staff in maintaining a Club environment that is safe, positive, and encourages youth development through quality experiences and high standards of achievement.
Staff Engagement:
  • Attend all scheduled staff meetings and training opportunities;
  • Meet all staff expectations and standards as outlined by Associate Director of Programs & Club Operations.

Club Appearance:

  • Maintain a clean, welcoming, and visually attractive program space; update displays and overall program space regularly;
  • Assist with the maintenance of club facility as needed.

Additional Responsibilities:

  • May oversee special programs and/or events (i.e. Youth of the Year, Keystone, etc.);
  • Required to drive Club van periodically;
  • Work with staff on special events and/or events in other departments;
  • Assume other duties as assigned.

Minimum Qualifications:

  • Completion or in pursuit of Associate or Four-year degree in related field from an accredited college or university;
  • A minimum of 1 year of work experience in a Boys & Girls Club or similar organization planning and supervising activities based on the developmental needs of young people;
  • Demonstrated ability in working with young people, parents and community leaders;
  • Strong communication skills, both oral and written;
  • Ability to provide exceptional community service experiences.;
  • Working knowledge of budget preparation, control, and management;
  • Mandatory CPR and First Aid Certifications;
  • Valid Driver’s License
Physical Requirements of Work Environment:
  • Ability to work in an office environment;
  • Ability to work in a Club environment with possible extended periods of movement and engagement with members and staff;
  • Ability to do light to moderate lifting.
